Backing up your data

Use the Back Up Data icon to save a copy of your current Sage 300 data to your Data Drive.

Only the Sage 300 administrator (ADMIN user) can back up data or restore data from a backup copy.

Sage 300 is designed to work with databases of a set size, specified by your Sage business partner. If your database is larger than this size, you can back up your data, but you may not be able to restore that backed-up data. To find out the database size limit for your system, contact your Sage business partner. You may be able to reduce the size of your database by clearing history.

Tip: You should back up after making major changes to your data and before performing major operations such as year end processing. You can then restore backed-up data to your Sage 300 database using the Restore Data from Backup icon, if necessary.

To back up your data:

  1. On the Sage 300 home page, click Back Up Data.
  2. Select the database that you want to back up, and then click Set Directory.
  3. On the Set Dataset Directory screen, browse to the folder where you want to put the extracted data files (called "datasets"), and then click OK.
  4. Click Dump to proceed.
  5. When prompted to confirm the deletion of any existing files in the folder you specified, click OK.

A control file with the extension .DCT is created in the folder you specify, and the extracted data is saved in a subfolder with the same name as the DCT file.

The name of the control file is the database ID with the .DCT extension.

Important! When storing extracted data, you must retain both the control file and its associated subfolder.

  6. In the Dataset Description field, enter a description of the backup file, and then click Done.
  7. Click OK to close the Summary message.
