Entering an Employee Timecard
This process is used so that employees can enter their own individual timecards.
Your payroll system should have the proper security and employee record setups for employee timecard entry. For details, review About Employee Timecards.
To enter an employee timecard
- Open Payroll > Payroll Transactions > Payroll Timecards > Employee Timecards.
- In the Employee field, enter the employee number or click the Finder to choose one.
- Complete the other fields at the top of the timecard.
- If you use Sage 300 Project and Job Costing and you want to enter job-related information for the earning/expense, select the Job-Related check box and use the Jobs field later in the detail table.
- If the timecard is not
yet approved, edit the information in the detail table (or press F9 to
open the detailed window), if necessary.
Note: In the Earning/Expense/Accrual field, you can enter only codes that have been flagged as Available in Employee Timecards on the Pay tab of the Employee Payroll window, for that employee.
- If you use Optional Fields:
- To include optional fields related to the whole timecard, click the Optional Fields tab, and select the optional fields.
- To include optional fields related to only the earning, double-click the Use Optional Fields column of that earning. This opens the Optional Fields dialog box, where you can select optional fields.
- To insert a line after a particular line (for example, to include another hourly earning or a tip), highlight the line, and press Insert on the keyboard. The new line will be inserted after the highlighted line.
- To delete a line, select it and press on the keyboard. To delete the whole timecard, click the button on the window.
- When finished, click .
- If you have adequate security permission, you can print a copy of the timecard by clicking the button. You can also print it later, from the Transaction Reports folder.
Note: To transfer employee timecards or print the report, your logon User ID must be assigned a Security Group ID that is set with the Timecard Entry or the Transfer Employee Timecard access permission. Otherwise, the button (or button) is not available to you.
- If you have reviewed the timecard but do not have the authority to approve it, set the Status field to Reviewed.
- If the timecard is ready for approval, set the Status field to Ready For Approval.
After a timecard has been approved, you can no longer edit it if you do not have adequate authority.
