Viewing Sage 300 Customer Information in Outlook
Setting Up Microsoft 365 Integration
Integrating Sage 300 with Microsoft 365 allows you to use Sage Contact, which is an app for Microsoft 365 that lets you view and manage Sage 300 customer information within Outlook. Sage Contact has the following tabs:
- Overview. Shows the customer's credit information, contact information, salesperson, and price level. More...
- History. Shows the customer's balance, average days to pay, recent invoices, and recent payments.
The most recent 20 invoices and 20 payments are shown. Use Sage 300 to review older invoices and payments.
- Comms. Shows a list of the latest emails received from the customer.
If an email address is specified for multiple Sage 300 customers, this tab shows all emails from the email address.
- Notes. Shows notes and comments entered in Sage 300 for the customer, with the following limitations:
- For each note, up to 250 characters are shown.
- Only notes with a status of Active are shown.
- The most recent notes and comments are shown, up to 20 of each (20 notes and 20 comments).
Use Sage 300 to review notes that are longer than 250 characters, notes with a status other than Active, or older notes/comments if there are more than 20.
Requirements
To view and manage customer information in Sage Contact:
- You must have relevant Accounts Receivable security authorizations in Sage 300. For more information, see the Accounts Receivable help.
- For each specific customer, an email address must be specified in Sage 300 on the Contact tab of the A/R Customers screen. Sage Contact does not use the email address specified on the Address tab of the A/R Customers screen.
When viewing an email from or sending an email to the contact email address that is specified for a Sage 300 customer, Sage Contact shows information for the customer. If the email address is not specified as the contact email for a Sage 300 customer, you can assign the email address to a Sage 300 customer directly from Sage Contact.
Languages
Sage Contact supports the same languages as Sage 300: English, French, Spanish, and Chinese. If you use one of these languages in Microsoft 365 and a different language in Sage 300, Sage Contact shows information in your Microsoft 365 language, even though this information comes from Sage 300. If you do not use a supported language in Microsoft 365, Sage Contact shows information in English.
Multicurrency Systems
If you use multiple currencies in Sage 300, Sage Contact shows amounts in the customer's currency.
Amounts for a currency are shown differently in Sage Contact depending on whether the currency is set up in Sage 300 with the standard currency code. If the currency is set up with a non-standard currency code, Sage Contact shows amounts:
- With the currency code from Sage 300 instead of the usual character for the currency.
- To two decimal places, even if this is not the usual formatting for the currency.
The standard currency code for Japanese yen is JPY. If you use this currency code in Sage 300, Sage Contact shows an amount of one hundred yen as follows:
¥100
However, if you use JPN as the currency code in Sage 300, Sage Contact shows an amount of one hundred yen as follows:
JPN 100.00
