About the Data Drive

You use the Data Drive to find resources and documentation, to store company data and customized reports, and to transfer data between your local drive and Sage 300.

When you click the Data Drive icon, a Windows File Explorer-like screen appears that displays an F: drive, which includes a SharedData folder, a Reports folder, and a Transfer folder. In Windows Mode, the screen also displays any mapped local drives on your computer.

You can copy information between the Data Drive and your local drives, similar to Windows File Explorer. For more information, see Transferring data using the Data Drive.

Company and user data (F:\SharedData folder)

Sage 300 uses the F:\SharedData folder to store data that is unique for your company and users, such as license files, configuration settings, and user settings.

Note: If you use Sage 300 for multiple companies, all your companies use the same F:\SharedData folder.

Information in the F:\SharedData folder is organized into the following subfolders:

  • 3rdParty. Data for 3rd-party applications, such as number changers.
  • AATRIX. U.S. Payroll reports. This file is created when you use the Federal Tax Filing screen in U.S. Payroll.
  • BXDATA. Data for Sage Intelligence Reporting.
  • COMPANY. Data shared by all the Sage 300 applications you use.
  • DATA. Database files.
  • Samdata. Sage 300 sample data.
  • SITE. Data shared by all the Sage 300 applications you use.
  • USER. Data shared by all the Sage 300 applications you use.

License (LIC) files for each Sage 300 application are saved in the F:\SharedData folder.

You also use the F:\SharedData folder to store custom reports you have created, and to save backup copies of your accounting data. You could create an additional folder as follows:

  • Custom. Create and use to store reports that you customize.

You can also navigate to any of the mapped drives on your local computer, and copy files to and from the mapped drives and the F:\SharedData folder.

Resources (F:\Reports folder)

The F:\Reports folder contains the standard set of reports that comes with Sage 300.

F:\Transfer folder

When running Data Drive in Browser Mode, any files you upload are initially stored in the F:\Transfer folder. To use the files, move them from this folder to a location in the F:\SharedData folder.
