Data Entry Tools, Shortcuts, and Guidelines

Sage 300 Payroll data entry windows contain many aids to data entry which you can activate by selecting from a menu command, pressing a function key on your keyboard, or clicking an icon.

Using the Keyboard to Move Between tabs on a Window

To use the keyboard to move from one tab to another, press the Alt key on the keyboard and the letter that is underlined on the tab's name. For example, on the Payroll Employees window, you can move to the Pay tab by pressing the Alt and Y keys on the keyboard.

Help Image of the Help button. F1

The context-sensitive Help Image of the Help button. button displays in-product Help for the open page or window. This button is displayed on most windows in Sage 300 Payroll.

Drilldown Drilldown button n/a The Drilldown Drilldown button button displays beside some data fields and in some column headings in transaction detail entry tables. Click it to view the details of the record or transaction in the corresponding field.  

Finder Finder button

F5

The Finder Finder button button displays in some data entry fields and in some table headings in transaction entry windows. Click it when you want to look up records to select for a field.

Use the Finder to search lists of codes maintained in or used the program (such as taxes, employees, and paychecks).

Go Go button

F7

The Go Go button button displays on windows where you must enter information (such as filter criteria) before viewing records that match the information you enter.

For example, on some report windows you must select a range of years or periods before you can view the report. After specifying this information, click the Go button or press F7 to view.

Calendar Calendar button

The Calendar Calendar button button displays next to some date fields. Clicking this button opens a calendar, which gives you the option to select a date instead of typing the date in the field.

Navigation navigation buttons

Click the Previous and Next buttons to navigate through a list of existing records, or click the First and Last buttons to navigate to the first and last records.

If you the Set Criteria button on the Finder window and specified criteria, only records that match the criteria you specified will display when you use the navigation buttons. If you can't find what you're looking for, click the Finder button to see whether you have specified criteria that prevents the record from displaying.

New New button

Click the New New button button or select New from a menu to create a new record.

Zoom Zoom button

F9

Click the Zoom Zoom button button or press the F9 key to view or enter supplementary information for a transaction detail or for a field.

Beside any field that displays a Zoom button, you can click the button ( or select the field and then press F9) to open a separate window where you can view and enter supplementary information specific to that field.

After viewing or editing the information in the detail window, you can press F9 to close the window.

Detail Zoom Shift + F9 If another Zoom button displays on the detail window, you can click it or press Shift+F9 to open the new detail window. (If you simply press F9 again, the first detail window closes.) This function is referred to as "Detail Zoom." To close the second detail window, press Shift+F9 again.
