I/C Optimize Inventory Screen
Changes item reorder quantities for the specified year/period to the Order Minimum and Order Maximum displayed in the rows that are selected in the table.
Clears all information from the screen, and sets the Year/Period field to the current fiscal year and period.
Closes the screen.
Note: If you close the screen, the information shown on the screen is saved, allowing you to later resume working where you stopped. This can be helpful if you are reviewing a long list of items, and you cannot finish at one time.
Specify the range of account sets that are assigned to items for which you want to optimize reorder quantities.
Specify the range of categories that include items for which you want to optimize reorder quantities.
Displays the total cost of current maximum reorder quantities for all items shown in the table.
Displays the total cost of current minimum reorder quantities for all items shown in the table.
You can refine the list of results shown in the table by selecting a filter:
- All. The table displays all items that match the criteria specified in the top part of the screen.
- Recommendations to increase minimum. The table displays only items for which the order minimum is more than the current minimum.
- Recommendations to decrease minimum. The table displays only items for which the order minimum is less than the current minimum.
- Understocked items (based on recommended minimum). The table displays only items for which the order minimum is more than the quantity available.
- Overstocked items (based on recommended maximum). The table displays only items for which the order maximum is less than the quantity available.
Specify a range of items for which you want to optimize reorder quantities.
Specify whether to search for items at all locations or at one specific location. If you select Specific Location, a field appears in which you specify a location.
Displays the total cost of order maximum quantities for all items shown in the table.
Displays the total cost of order minimum quantities for all items shown in the table.
Displays the total cost of all available inventory for items shown in the table.
Select this option to hide the Period fields in the table.
Displays the total cost to change your available inventory for all items shown in the table to the order maximum.
Note: If you have more inventory than the order maximum, this field displays a negative number.
Displays the total cost to change your available inventory for all items shown in the table to the order minimum.

Displays the difference between the total cost of current and order maximum quantities for all items shown in the table.
Note: If the cost for current maximum quantities is more than the cost for order maximum quantities, this field displays a negative number.

Specify the range of vendors who sell items for which you want to optimize reorder quantities.
Specify the year and period for which you want to optimize item reorder quantities.
By default, this field displays the current fiscal year and period. To ensure that optimal item reorder quantities are calculated correctly, you should not change this default.
The table includes a separate row for each location at which you stock an item, allowing you to control item reorder quantities for each location.
Note: If no locations are specified for an item (on the Location Details screen), the table does not include any rows for the item, even if the item matches your search criteria.
Displays the general ledger account set that is assigned to the item.

When you click Apply Selected Changes, the quantity in this field is used to update the projected sales quantity on the Reorder Quantities screen.
Displays the category to which the item is assigned.
Displays the total cost of the current maximum reorder quantity for the item.
Displays the total cost of the current minimum reorder quantity for the item.
Displays the total cost of the order maximum quantity for the item.
Displays the total cost of the order minimum quantity for the item.
Displays the difference between the total cost of current and order maximum quantities for the item.

Displays the number you use to identify the item in Inventory Control.
Displays the number of days it takes after you place an order until the goods arrive at the location. This is specified in the Lead Time (SIA) field on the Location Details screen.
Note: If lead time for an item is 0, optimal reorder quantities for the item are also 0. This is because a lead time of 0 means the item is available immediately, any time (for example, an electronic book), and for such items you do not need to keep any inventory on hand.
Displays the location at which the item is stocked. If the item is stocked at multiple locations, the table includes a separate row for each location, allowing you to control item reorder quantities for each location.
Displays the cost you paid (based on cost unit of measure) the last time you purchased the item. For more information, see I/C Location Details Screen.
Displays the optimal maximum reorder quantity for the item, calculated as follows:
Optimal Minimum × Maximum Quantity margin factor (specified on the Options screen).
Displays the optimal minimum reorder quantity for the item, calculated as follows:
Average Sales × Minimum Quantity margin factor (specified on the Options screen) × Lead Time ÷ 30.
Note: If lead time for an item is 0, optimal reorder quantities for the item are also 0. This is because a lead time of 0 means the item is available immediately, any time (for example, an electronic book), and for such items you do not need to keep any inventory on hand.
Specify the maximum reorder quantity for the item. The quantity in this field is used to update the Reorder Quantities screen when you click Apply Selected Changes.
By default, this field displays the maximum reorder quantity from the Optimal Maximum field, rounded up to an even multiple of the quantity in the Order Minimum (SIA) field on the Vendor Details screen.
Note: You can change the quantity in this field.
Specify the minimum reorder quantity for the item. The quantity in this field is used to update the Reorder Quantities screen when you click Apply Selected Changes.
By default, this field displays the minimum reorder quantity from the Optimal Minimum field, rounded up to an even multiple of the quantity in the Order Minimum (SIA) field on the Vendor Details screen.
For example, if the Optimal Minimum is 18, and the Order Minimum (SIA) is 5, this field displays 20.
Note: You can change the quantity in this field.
The table includes numbered Period fields (Period 1, Period 2, etc) up to the number specified in the Sales Periods field on the Optimizer tab of the Options screen. For more information, see I/C Options Screen.
Each Period field displays the number of units of the item that were sold or otherwise consumed in the period, including those used in:
- Bills of Materials
- Kits
- Internal usage
Displays the number of units of the item that you have available, in the item's stocking unit of measure. This is calculated using the other quantity fields, as follows:
Quantity On Hand + Quantity On P/O − Quantity On S/O
Displays the number of units of the item that are on hand at the location, in the item's stocking unit of measure.
Displays the number of units of the item that are on purchase order in Sage 300 Purchase Orders, if you use that program.
Displays the number of units of the item that are on sales order in Sage 300 Order Entry, if you use that program.
This field provides a rough indication of whether sales of the item are trending up or down.
If the number of periods is set to 4 (on the Options screen), the field displays the result of one of the following calculations:
- Non-seasonal items. Average of periods 1 and 2 − average of periods 3 and 4.
- Seasonal items. Average of periods 3 and 4 − average of periods 1 and 2.
Indicates whether or not an item is seasonal. You specify if an item is seasonal on the Items screen. For more information, see I/C Items Screen.
The periods used to calculate optimal reorder quantities for an item differ depending on whether or not the item is seasonal.
If the Year/Period field is set to 2015 period 6, and the number of periods is set to 3 (on the Options screen), the following periods are used in the calculations:

Non-seasonal items:
- Period 1 = 2015 period 5
- Period 2 = 2015 period 4
- Period 3 = 2015 period 3

Seasonal items:
- Period 1 = 2014 period 6
- Period 2 = 2014 period 7
- Period 3 = 2014 period 8
Select this option in each row that contains recommended changes that you want to make to item reorder quantities. When you click Apply Selected Changes, item reorder quantities are changed to the order minimum and order maximum displayed in the rows you've selected.
Displays the stocking unit of measure you use for the item.
Displays the cost at which the vendor is currently selling the item.
Displays the number that the vendor uses to identify the item.
Displays the name of the contact person or position for the vendor.
Displays the identification number you use for the vendor of the item.
Note: If the item is sold by multiple vendors, your preferred vendor is used. If there is no preferred vendor, your primary vendor is used. For more information about specifying a preferred or primary vendor, see I/C Vendor Details Screen.
Overview
Use the Optimize Inventory screen to optimize minimum and maximum quantities for item reorder. Using sales data, Sage 300 calculates optimal item reorder quantities based on a just-in-time inventory management model. You can select some or all of the recommended changes, and then automatically update the quantities specified on the Reorder Quantities screen.
Optimal item reorder quantities are calculated for the year/period specified in the Specify Criteria section at the top of the screen.
By default, the Year/Period field displays the current fiscal year and period. To ensure that optimal item reorder quantities are calculated correctly, you should not change this default. However, there are situations when you may want to change the year/period. More...
The specific periods used to calculate reorder quantities for an item are determined by:
- The number of periods used in calculating reorder quantities. This is specified in the Sales Periods field on the Optimizer tab of the Options screen. For more information, see I/C Options Screen.
- Whether or not the item is seasonal. More...
If the Year/Period field is set to 2015 period 6, and the number of periods is set to 3 (on the Options screen), the following periods are used in the calculations:

Non-seasonal items:
- Period 1 = 2015 period 5
- Period 2 = 2015 period 4
- Period 3 = 2015 period 3

Seasonal items:
- Period 1 = 2014 period 6
- Period 2 = 2014 period 7
- Period 3 = 2014 period 8
- Reorder quantities for an item are not updated if All Locations is selected for the item in the Reorder for field on the Reorder Quantities screen.
- After you click Go
, the fields in the Specify Criteria section can no longer be changed. And even if you close the screen, the information shown on the screen is saved, allowing you to later resume working where you stopped. This can be helpful if you are reviewing a long list of items, and you cannot finish at one time. To enter new criteria, you must click Clear.
- If you export data from this screen, do not click Clear before importing the data, because doing so prevents the import from working correctly.
- If you use Sage 300 Purchase Orders to create purchase orders automatically based on reorder quantities defined in Inventory Control, ensure that items on the Reorder Quantities screen have a full year's set of periods: 12 (or 13, if you use 13 fiscal periods). If you use the Optimize Inventory screen to update reorder quantities for an item that does not have a full year's set of periods, when you create purchase orders for that item, projected sales quantities may be incorrect.
