Retrieve Details

You must periodically retrieve sales information from Order Entry, Inventory Control, and Accounts Receivable to update your Sales Analysis data.

  • Before clearing history and transactions for these modules, make sure that you retrieve all data to Sales Analysis.
  • Before retrieving details to Sales Analysis, you must complete Day End Processing and post batches in Accounts Receivable.
  • If your Accounts Payable system uses payment codes more than 6 characters long, these codes are truncated in Sales Analysis when you retrieve data.

Data retrieval is based on the selections that you chose on the Data Sources tab in the Setup Options form. The retrieval program will check for unretrieved data and show which modules have data available for retrieval.

The Retrieve Details form displays checkmarks beside each ledger name to show that you have run Day End and posted A/R batches, and that you can retrieve data for Sales Analysis.

Data is retrieved from:

  • Order Entry invoice detail and header files
  • Order Entry credit note detail and header files
  • Accounts Receivable posted batches
  • Inventory Control shipment and return transactions
  • Service Manager shipment files
  • D-Bit Billing invoice files

To Retrieve Details:

  1. Open the Details folder.

  2. Open the Retrieve Details form.

  3. Select modules to retrieve. By default, the Retrieve check box is checked if there is data to retrieve.
    • Retrieve Details from Sage 300 modules to Sales Analysis based on the Setup Options.
    • Initially the Date Last Retrieved is Never. This will change to show the last date data was retrieved.
    • The Module Name, Date Last Retrieved and Retrieve check box are unavailable if a module is not selected for integration with Sales Analysis in Setup Options.

  4. If records have not been processed in Day End Processing, a warning message will appear when you click Proceed, informing you that some records will not be retrieved. If you do not want this message to appear, select the "Skip day end message" check box.
  5. Click the Proceed button to retrieve the selected data into Sales Analysis.
    • If any records you selected for retrieval have not been processed in Day End Processing, and you did not click the "Skip day end message" check box, a warning message appears.

      You can click Yes to cancel, or click No to proceed with data retrieval.

    • If all records you selected for retrieval have been processed in Day End Processing, and/or if you selected the "Skip day end message" check box, a progress bar shows the progress of data being retrieved.
  6. When data retrieval is complete for all selected modules, a confirmation message appears.

  7. Click OK, and then click Close to close the Retrieve Details form.
