If you enter a credit note against an invoice that has not been cleared from your program, Order Entry displays all the invoice details when you enter the invoice number. You can edit these details before you post the credit note.

If you enter a credit note against an invoice that has not yet been entered or has been cleared from your system, Order Entry displays item costs based on each item's costing method. More...

Item costs are displayed as follows:

  • The average cost for items that use the moving average, FIFO, and LIFO costing methods.
  • The most recent cost for items that use most recent cost.
  • The standard cost for items that use standard costing.

You can edit item costs before posting the credit note.

Important! If you do not want to affect any Order Entry or Inventory Control statistics, you should enter the credit note in Accounts Receivable.

To edit credit note details:

  1. If you are crediting an existing invoice, delete any lines from the detail table that you are not going to credit. More...

    Select the detail, and then click the Delete Line button. If you are prompted to confirm the deletion, click Yes.

    Note: If you are crediting an invoice that does not exist in Order Entry, the first line is selected.

  2. For each line to be credited:
    1. In the Credit Type column, select the reason you are crediting the detail. To specify the credit type, double-click in the Credit Type column for that detail, and then select one of the following types from the list:
      • Items Returned to Inventory—for items that are being returned to inventory.
      • Damaged Items—for items that are damaged (and not being returned to inventory).
      • Price Adjustment—for price adjustment on items. If the invoice number does not exist in Order Entry, the program displays item unit costs based on each item's costing method.
    2. Use the O/E Detail Taxes screen to check and edit tax information for the detail, as necessary. Select the line on the details table, and then click the Edit Icon in the Line Number column to open the O/E Detail Taxes screen.

  3. Add detail lines for item details or miscellaneous charges, if needed.

To edit the exchange rate for a credit note:

  1. Click the Rates tab.
  2. Edit the Rate Type code if you want to change the method to convert source-currency amounts to their functional-currency equivalents.
  3. Enter the Rate Date (to select the credit note exchange rate from the currency rate table).
  4. If you need to change the exchange rate, enter it in the Rate field.

Note: The Rates tab appears only in a multicurrency ledger, if the customer does not use the functional currency. You enter exchange rate information in the O/E Credit/Debit Note Entry screen only if you do not want to use the current exchange rate for the credit note, or if no rate is entered for the credit note date.

Tip: If the exchange rate of the return or credit note differs from the rate of the invoice, you will realize an exchange gain or loss on the transaction.
