About Item Number Formats

You use item structures to format item numbers. Design the item structures to help you sort and group items on reports and in lists.

You can have as many different item structures as you need to accommodate different item number formats. However, you must add at least one item structure to Inventory Control before you can add items.

Note: You create item structures from the segments set up on the Items tab of the I/C Options screen.

To add an item structure:

  1. Open Inventory Control > I/C Setup > Item Structures.

  2. In the I/C Item Structures screen, click Create New.
  3. For Structure Code, type a code to identify the item structure, using no more than six alphanumeric characters.
  4. For Structure Description, type a description for the structure code.
  5. If item numbers using this structure will start with a prefix, select the prefix from the Prefix list. Otherwise, select None.

    As you create the item structure:

    • Item Structure displays a sample format.
    • Total Length displays the number of characters used in the structure.
  6. In the table, specify the item structure using a line for each segment in the order that the segment will appear in the item number:
    1. Click Add Line for the first segment.
    2. Select a segment name.
    3. If you want to use a character between this segment and the next segment, select a segment separator.
    4. To add additional segments to the item structure, click Add Line and repeat steps 7b and 7c.

      Note: An item structure can be no more than 24 characters long (including all segments, separator characters, and a prefix character).

  7. Click Save.
