Employee Timecards Screen
Click this button to find an existing employee timecard.
Click this button to transfer an approved timecard to the detailed Payroll Timecards screen (in the Sage 300 Desktop) so you can process the timecard when you calculate payroll.
- This button is enabled only if you have adequate security.
- After you transfer a timecard, it is no longer accessible on the Employee Timecards screen.
Enter the employee number of the employee for whom you want to enter or modify a timecard.
Note: The Finder for this field lists only employees who are assigned to the user ID that you used to open the company.
Enter a description of the timecard.
Enter the period end date for the timecard.
If you use Sage 300 Project and Job Costing, you can select this option to display additional fields that let you enter job-related information for earnings and deductions.
This field displays the start date for the timecard, which is calculated based on the end date and the employee’s pay frequency.
Specify the status of the timecard:
- New. For a timecard that is new, or is not yet completed for the period.
- Ready for Approval. For a timecard that is completed for the period and is ready for review and approval.
- Reviewed. For a timecard that has been reviewed by a reviewer who does not have the authority to approve timecards.
- Approved. For a timecard that is approved. You can specify this status only if you have the authority to approve timecards.
Specify the date that applies to the earning/expense/accrual on the detail line of the employee timecard.
The Day of Week field is automatically updated based on the date you enter.
The day of the week displayed in this field is determined based on the Date field.
Specify an earning/expense/accrual code.
You can select only codes that are set for the employee as Available in Employee Timecards on the Pay tab of the Payroll Employees screen (in the Sage 300 Desktop).
Enter the hours that apply to the earning/expense/accrual on the detail line of the employee timecard. If you entered start and stop times, the value in this field is automatically calculated.
This field appears if the Job Related option is selected in the top part of the screen.
Click the Edit icon on this field to open the Project and Job Costing Details screen, where you can enter job-related information for the selected earning/deduction. For more information, see Project And Job Costing Details Screen.
This field is available for all earnings/deductions except:
- An hourly rate, fixed, or flat earning that uses an overtime schedule that is set up to pay overtime as compensatory time hours.
- An earning that uses Percentage Of Base or Amount Per Hour, if you have selected the Jobs Allocated Based On Calc Base option for that earning. Though selecting this option will not let you enter the Jobs field, the cost and billing amount is still calculated and transferred to Sage 300 Project and Job Costing.
You can also enter billing information, but only for:
- Earnings (except those using a calculation method of Percentage Of Base or Amount Per Hour, and for which you have selected the Jobs Allocated Based on Calc Base option.)
- Accrual Payments
- Expense Reimbursements
The job-related information you enter for accrual payments, expense reimbursements, and earnings (note the exceptions mentioned earlier) are transferred to Sage 300 Project and Job Costing. Job-related information for all other earnings/deductions (advances, deductions, benefits) are not transferred, but stored in Payroll for reporting purposes.
If you use Transaction Analysis and Optional Field Creator and you want to assign optional fields to an earning/deduction or tax, click the Edit icon in the Optional Fields column to open the Optional Fields screen. You must already have defined optional fields in the Sage 300 Desktop (specifically, in Common Services and in the Payroll Optional Fields screen).
On the Optional Fields screen, enter or change optional field information:
- Change default values. If an optional field requires validation, you must enter a value that is specified for the optional field in Common Services. (If the optional field allows a blank, you can leave the field blank.) Otherwise, you can enter any combination of characters that is consistent with the type of field (text, amount, date, and so on).
- Add an optional field. Click Add Line, and then use the Finder to select an optional field to add. You can select only optional fields that are set up for the earning/deduction or tax on the Optional Fields screen.
- Delete an optional field. Select an optional field on the list, and then click Delete Line.
For reported tips earned by Quebec employees, enter an amount that represents:
- Tips not based on tippable sales. For example, tips received by a cloakroom attendant.
Note: Tippable sales means the sales amount on which tips are collected.
- The net amount of tips paid to (and received from) other employees through a tip-sharing arrangement.
You can override the shift from the Payroll Employees screen (in the Sage 300 Desktop) for earnings/deductions based on hours worked on a timecard.
You can override the default shift schedule set at the Employee level for earnings/deductions based on hours worked on a timecard.
Enter the start time that applies to the earning/expense/accrual on the detail line of the employee timecard.
Enter the stop time that applies to the earning/expense/accrual on the detail line of the employee timecard.
When you enter a Tip earning or an expense on the detail line, enter the amount of the tip or expense.
When you enter a Piece Rate or Sales Table earning, enter the number of pieces completed or the amount of sales during the period.
When you enter a Piece Rate or Sales Table earning/deduction on a timecard, in the Tips Based On field, enter the number of pieces completed or the amount of sales during the pay period.
This field appears if the Job Related option is selected in the top part of the screen.
For each earning/deduction, this field displays the total hours allocated to the job, which is calculated based on information in the Project and Job Costing Details screen. For more information, see Project And Job Costing Details Screen.
This field appears if the Job Related option is selected in the top part of the screen.
For each earning/deduction, this field displays the total pieces, sales commission, or wage expense amount allocated to the job, which is calculated based on information in the Project and Job Costing Details screen. For more information, see Project And Job Costing Details Screen.
By default, this field displays the work classification code entered on the employee's record, but you can change it.
This tab appears only if you use Transaction Analysis and Optional Field Creator.
Select an optional field to use for an employee. You can select only optional fields that are set up on the Payroll Optional Fields screen (in the Sage 300 Desktop).
Enter the default value for an optional field.
If the optional field uses validation, you must select a value that is defined for the optional field in Common Services. Depending on how the optional field is set up, you may also be able to leave the field blank.
If the optional field does not use validation, you can enter any value that is consistent with the type of field (for example, you cannot enter letters in a 'number' field) and does not exceed the number of characters specified for the optional field. In a Yes/No field, you can enter only Yes or No.
This field indicates if there is a value specified in the Value field, as follows:
- Yes. A value is specified.
- No. No value is specified.
This information is useful if the Value field is blank, because it tells you whether the field has no value specified or has an automatically inserted, but blank, default value.
Overview
Use the Employee Timecards screen to:
- As an employee, enter your own timecards, and set the status of your timecards to Ready for Approval.
- As a manager, review and approve employee timecards and transfer them to the detailed Payroll Timecards screen (in the Sage 300 Desktop) for processing.
Note: After you transfer a timecard, it is no longer accessible on the Employee Timecards screen.
User and security settings determine what you are able to do on the Employee Timecards screen. For example, depending on your security settings, you may or may not be able to edit a timecard once the status of the timecard is set to Approved.
