Search for Duplicate SSN or SIN Numbers

When setting up employees you may have inadvertently assigned the same social security number or social insurance number to more than one employee, or you did not enter the number, leaving it as zeroes. To report employees with the same number use the Find Duplicate SSN or SIN feature.

Searching for Duplicate SSN or SINs

  1. From the Payroll (Processes) Periodic Processing folder, select Find Duplicate SSN or SIN.
  2. Click Proceed.
  3. If duplicate social security numbers or social insurance numbers are entered for any employees, you can click Print to generate the Duplicate SSN or SIN Listing report, which lists these employees.

    Note: To include full (not masked) social security numbers or social insurance numbers in the report, select the Show SSN or SIN Numbers option. If you do not select this option, numbers in the report are masked, so only the last part of the number appears (for example, ***-**-1234 or ***-***-123).

Reporting

The Duplicate SSN or SIN Listing report helps you identify employees who have been assigned the same social security number or social insurance number. You should assign a unique social security number or social insurance number to each employee before you start year-end processing and reporting, such as generating T4 or Relevé 1 slips for Canada or W-2 slips for U.S..
