Accounts Receivable Security Authorizations

If security is turned on for your Sage 300 system, the system administrator must assign users security authorization for Accounts Receivable screens.

For information on turning on security, setting up security groups, and assigning authorizations, refer to the System Manager help.

Note: To change the print destination for forms and reports, you must have Change Print Destination security authorization for Administrative Services.

To view records and to print reports in Accounts Receivable, you must belong to a security group with Common Inquiry authorization. Common Inquiry authorization by itself does not let you edit any Accounts Receivable records.

To edit records or perform processing tasks, the system administrator must grant the group access to additional tasks from the following list:

Adjustment Entry Allows the same access as Adjustment Inquiry authorization, and also lets you create, edit, and delete batches in Adjustment Entry and Adjustment Batch List.

You can also do periodic processing using Create Write-Off Batch.

If you also have Set Adjustment Batch Ready To Post authorization, you can set batches ready to post in Adjustment Batch List.

Adjustment Inquiry View and print adjustments in Adjustment Entry and Adjustment Batch List.

You can also print adjustment transaction reports in Batch Listing, Batch Status, Posting Journals, Posting Errors, and G/L Transactions.

Adjustment Posting Allows the same access as Adjustment Inquiry authorization, and also lets you post adjustment batches in Post Batches and Adjustment Batch List.

This assignment also lets you send transactions to the General Ledger automatically if the Create G/L Batches During Posting option is selected in the G/L Integration screen.

If you also have Set Adjustment Batch Ready To Post authorization, you can set batches ready to post in Adjustment Batch List.

Check Printing Print checks from Refund Entry and Refund Batch List.

To print checks, you must also have Refund Inquiry, Refund Entry, or Refund Posting authorization.

Clear History / Records / Stats Do periodic processing in Clear History, Clear Statistics, and Delete Inactive Records.

Also, view customer and setup records, and print customer and setup reports.

Common Inquiry View records and print reports for Customer Groups, National Accounts, Customers, and Ship-to Locations. Also, view setup screens and print setup reports.
Customer Analysis View customer information in Customer Activity. Also, print Customer Transactions, Aged Trial Balance, and Aged Retainage reports and print statements, letters, and labels.
Customer Developer Inquiry Supports the Inquiry feature in web screens. Developers of third-party programs, including macros, need to incorporate this resource in their security structures.
Customer Maintenance Update records in Customer Groups, National Accounts, Customers, and Ship-To Locations.
Dashboard View the Receivables Management Dashboard page.
Edit Credit Limit Change a customer’s credit limit.

You must also have Customer Maintenance authorization to update customer records.

Export Processing Export records using the File menu. You must also assign inquiry rights for the types of records you want to export. For example, to allow the exporting of receipt records, you must assign both Export Processing and Receipt Inquiry rights.
Import Processing Import records using the File menu. You must also assign update rights for the types of records you want to import. For example, to allow the importing of customer records, you must assign both Import Processing and Customer Maintenance rights.
Invoice Entry Allows the same access as Invoice Inquiry authorization, and also lets you:
  • Create, edit, and delete invoice transactions in the Invoice Batch List and Invoice Entry screens.
  • Create, edit, and delete records in Recurring Charges, and create batches of recurring charges in Create Recurring Charge Batch.
  • Do periodic processing using the Create Interest Batch, Create Retainage Batch, and Update Recurring Charges.
  • If you also have Receipt Entry authorization, you can enter prepayments in Invoice Entry.
  • If you have Set Invoice Batch Ready To Post authorization, also, you can set batches ready to post in Invoice Batch List.
Invoice Inquiry
  • View and print:
    • Transactions in Invoice Batch List and Invoice Entry.
    • Records in Recurring Charges.
  • View invoice records in the Customer Activity screen.
  • Print transaction reports for invoices from the Batch Listing, Batch Status, Posting Journals, Posting Errors, G/L Transactions, and Invoices screens.
Invoice Posting Allows the same access as Invoice Inquiry authorization, and also lets you post invoice batches in Invoice Batch List and Post Batches.

This assignment also allows you to send transactions to the General Ledger automatically if the Create G/L Batches During Posting option is selected in the G/L Integration screen.

Item Maintenance View, update, and print item records in Items (Setup). Also, print Items setup reports and Item Sales History analytical reports.
Period End Maintenance Do periodic processing in Create G/L Batch and Revaluation, and print revaluation transactions using Posting Journals and G/L Transactions.
Receipt Entry Allows the same access as Receipt Inquiry authorization, and also lets you create, edit, and delete transactions in Receipt Entry, Quick Receipt Entry, and Receipt Batch List.

You can also print deposit slips.

If you also have Set Receipt Batch Ready To Post authorization, you can set batches ready to post in Receipt Batch List.

If you use Payment Processing, you must have Receipt Entry authorization to pre-authorize and process credit card transactions in Order Entry.

Receipt Inquiry
  • View receipts in Receipt Batch List, Receipt Entry, and Quick Receipt Entry.
  • View receipt records in Customer Activity and Receipt Inquiry.
  • Print receipts.
  • Print transaction reports for receipts from Batch Listing, Batch Status, Posting Journals, Posting Errors, Receipt Inquiry, and G/L Transactions.
Receipt Posting Allows the same access as Receipt Inquiry authorization, and also lets you post receipt batches from Receipt Batch List or Post Batches.

You can also view refund transactions in Customer Activity.

If you also have Export Processing authorization for Accounts Receivable, print or export the results of these queries.

Salesperson Maintenance View, update, and print records in Salespersons (Setup), and print Salespersons setup reports.

If you do not have access to Salesperson Maintenance, you can view assigned salespersons in the Customers screen, but you cannot edit or print salesperson information.

Set Adjustment Batch Ready To Post Set adjustment batches ready to post.

You must also have Adjustment Entry or Adjustment Posting authorization to set an adjustment batch ready to post.

Set Invoice Batch Ready To Post Set invoice batches ready to post.

You must also have Invoice Entry or Invoice Posting authorization to set an invoice batch ready to post.

Set Receipt Batch Ready To Post Set receipt batches ready to post.

You must also have Receipt Entry or Receipt Posting authorization to set a receipt batch ready to post.

Set Refund Batch Ready To Post Set refund batches ready to post.

You must also have Refund Entry or Refund Posting authorization to set a refund batch ready to post.

Setup Maintenance Update and print setup options and records in Options, Account Sets, Billing Cycles, Distribution Codes, Dunning Messages, E-Mail Messages, G/L Integration, Interest Profiles, Optional Fields, Payment Codes, and Terms.
Transaction History Inquiry View customer information in Customer Activity.

If you also have Invoice Inquiry authorization, you can reprint posted invoices in Invoice Printing.

Transaction Optional Fields Add or delete optional fields in Invoice Entry, Receipt Entry, Refund Entry, Adjustment Entry, and other Accounts Receivable functions that create transactions automatically.
Year End Maintenance Do periodic processing in Year End.
Sage 300 Web API

Use the Sage 300 Web API to process GET, POST, PUT, PATCH, and DELETE requests.

Note: You must also have authorization to view and/or modify any records or transactions for which API requests will be processed.
