PJC Opening Balances Screen
Click this button to open a Detail screen where you can enter details for opening balances. For more information, see Detail Opening Balance Screen.
Enter a description for the transaction.
To select an existing transaction, enter its number. When entering a new transaction, accept ***NEW*** to allow the program to assign a unique number to the transaction (based on settings on the PJC Options screen).
Enter a reference for the transaction.
Transactions can have the following statuses:
- New. When you are entering a new transaction, accept this default status.
- Entered. When you add a transaction, its status changes from New to Entered.
- Approved. When you finish entering information for a transaction, you can change its status to Approved, indicating that it can be posted.
- Posted. When you post a transaction, its status changes to Posted.
Enter the date when you are processing the transaction. (The session date is used by default, but you can change it.)
Note: Depending on the Default Posting Date setting on the Transactions tab of the PJC Options screen, the date in this field may be used as the default posting date.
This field displays the year and period that contains the posting date. The posting date is set by default as either the session date or the transaction date, depending on the Default Posting Date setting on the Transactions tab of the PJC Options screen.
You can change the default posting date using the Posting Date Override screen, which you open by clicking the button beside the Year/Period field.
Note: If you consolidate G/L transactions by Account and Fiscal Period or by Account, Fiscal Period, and Source, the posting date for consolidated entries is the last date of the fiscal period.
When entering opening actuals balances, specify the category for which you are entering opening balances. (You do not specify a category when entering opening stored material balances or opening activity statistics.)
Specify the contract for which you are entering opening balances.
When entering opening actuals balances, you must specify a contract with a status of Estimate or Approved.
When entering opening stored material balances, you must specify a contract with a status of Estimate, Approved, or Open.
Specify the type of opening balance that you are entering:
- Actuals. Opening balances for the project to date.
- Activity. Opening activity statistics.
- Stored. Opening balances for stored materials.
Specify the project for which you are entering opening balances.
When entering opening actuals balances, you must specify a project with a status of Estimate or Approved.
When entering opening stored material balances, you must specify a project with a status of Estimate, Approved, or Open.
This field appears if you specify Actuals or Stored as the opening type. Depending on which of these opening types you specified, do the following:
- Actuals.
For a standard project, you must specify a resource.
- Stored.
For a standard project, you must enter the item number for a material resource that is assigned to the project category.
For a basic project, do not specify a resource (leave the field blank).
Overview
Use the PJC Opening Balances screen to enter opening actuals balances, opening stored material balances, and opening activity statistics for contract projects and their related categories and resources. This lets you transfer to Sage 300 contracts that you have been managing in another system.

Contracts and projects for which you want to enter opening actuals balances must have a status of Estimate or Approved.
Contracts and projects for which you want to enter opening stored material balances must have a status of Estimate, Approved, or Open.
