General Workflow of eInvoicing

eInvoicing consists of three stages:

  1. Setup and registration
  2. Sending/Receiving documents
  3. Printing documents.

Setup and registration

  1. Enter your setup information and then register your company to obtain a Peppol ID in the E/I Options screen.
  2. Set up classification codes in the E/I Production Classification Mapping screen.
  3. For outgoing documents:
    • Set up your customers with their Peppol IDs in the E/I Customers screen.
    • Set up your Currency Codes in the E/I Currency Code Mapping screen.
    • Set up your Unit of Measures in the E/I Unit of Measure Mapping screen.
    • Set up your Charges and Allowances in the E/I Misc Charges Code Mapping screen.
  4. For incoming documents:
    • Set up your Vendors with their Peppol IDs in the Vendor mapping screen.
    • Set up Distribution Codes in the Distribution Code Mapping screen.

Sending Documents

Creating AR and OE Documents

  1. Open AR Invoice Entry and enter the Customer that has a Peppol ID set up.
  2. Select Document Type Invoice.
  3. Enter a detail line and save.
  4. Post the AR Invoice batch.
Tip: Both Item and Summary types can be sent to LHDN.

For Order Entry, post an invoice and run day end processing, as follows:

  1. Open OE Shipment Entry and enter the Customer that has a Peppol ID set up.
  2. Enter detail lines and ship some items.
  3. Check the Create Invoice box - this will also create an OE Invoice.
  4. Post the OE Shipment Entry.
  5. Run Day-End Processing.

Sending invoices to LHDN

  1. Open EI Transactions > Outgoing Document Processing.
  2. Double click the Selected cell to toggle between Yes and No.
  3. Select Yes for the invoice you just posted.
  4. Click Send Selected.
  • It will take several minutes for the document to be transmitted to LHDN. Click on the Refresh button to review the status.
  • When you see Peppol Status of Transmitted, it means that the invoice has been successfully sent to LHDN.
Note: You have to click Refresh Statuses to update the Peppol status.

Retrieving documents from LHDN

  1. Open EI Transactions > Incoming Document Processing.
  2. Click Retrieve From LHDN button. This process may take several minutes to retrieve all the documents.
  3. Once documents are retrieved, double click the Selected cell to toggle between Yes and No for the transaction that you want to import to Accounts Payable.
  4. Click Import Selected button to import the transaction.

Printing Invoices

Once the document has been successfully transmitted, you can print the invoice.

For Accounts Receivable

  1. Open AR Transaction Reports > Invoices.
  2. Select the ARDINVMY.RPT form from your Sage 300 Programs folder: \Sage300\AR71A\ENG.
  3. Select either by Batch/Entry No., or by Customer/Document No., and enter the From/To range for the invoice that you want to print.
  4. Click Print - the invoice will show a QR code if it has been successfully transmitted to LHDN.
  5. When your customer receives the invoice, they can use the QR code to view the invoice in the LHDN portal.

For Order Entry

  1. Open OE Forms > Invoices.
  2. Select form OEINV01MY.RPT from your Sage 300 Programs folder \Sage300\OE71A\ENG folder.
  3. Select the invoice that you want to print.
  4. Click Print. The invoice will show a QR code if it has been successfully transmitted to LHDN.
  5. When your customer receives the invoice, they can use the QR code to view the invoice in the LHDN portal.
