About Document Numbers for Invoices, Debit Notes, and Credit Notes
You use the A/R Options screen to select options that determine how your Accounts Receivable system processes transactions and stores information about your customers.
Company tab
- Specify contact information for your Accounts Receivable department.
Processing tab
- Specify whether or not you process transactions in multiple currencies.
- Specify whether or not to process recurring charges.
- Specify whether or not to require batch listings.
- Specify whether or not to allow editing of imported or external batches.
- Specify whether or not to use retainage accounting.
- Specify the number of days to keep comments in customer records.
- Specify the types of statistics you keep and the reporting periods you use for statistics.
Transactions tab
- Select options for entering and printing invoices.
- Assign the default payment code, transaction type, and bank code for your company.
- Select options for printing deposit slips.
- Select options for editing or entering adjustments in receipt batches.
- Select the order for listing documents during receipt entry.
Numbering tab
- Specify the numbering format that Accounts Receivable uses to assign a unique document number when adding a document type (such as an invoice or credit note) to a batch.
- Change the next document number for a document type, batch type, or porting sequence type.
Statement tab
- Set up the aging periods to use for customer statements and the Aged Trial Balance report.
- Enter dunning messages for each aging period.
- Specify whether or not to print statements for accounts with zero balances.
- Specify how to age unapplied credit notes, debit notes, receipts, prepayments, and unapplied cash.
Retainage tab
- Specify the default percentage of the document total to withhold.
- Specify the number of days from the original document date that the customer can withhold the retained amount.
Note: You use the A/R G/L Integration Screen to select options that govern the interaction between Accounts Receivable and General Ledger, including when and how General Ledger transactions are processed.
You can change the settings on the A/R Options screen with the following exceptions and restrictions:
- You can select the Multicurrency option at any time, but you cannot turn it off after you select it and save the change.
- You can change the option to keep statistics at any time. However, if you turn the option off, then turn it on again, statistics from transactions posted while the option was off will not be included in the totals in the account records. You should not change type of year (fiscal or calendar) or the period type partway through a year, because this will cause figures to be distorted in some periods
- You can turn off the Retainage Accounting option only if there are no unposted batches that include retainage and there are no outstanding retainage amounts.
- You cannot change some options while other Accounts Receivable screens are open, or if other users are working with the Accounts Receivable database.
