Setting Up Global Security

To set up global security:

  1. Click Start > Programs > Sage Software > Database Setup.
  2. Enter your administrator password and click OK.
  3. Highlight the database you are setting advanced security for, and then:

    • If you are setting advanced security for a system database, click Edit, select the Enable Application Security option in the Edit Database Profile dialog box, click OK, and then click the Security button in Database Setup.
    • If you are setting advanced security for a company database, click the Security button in Database Setup.

    The Advanced Security Settings dialog box opens.

  4. Select the following options as needed:

    • Require complex passwords. Select this option to require that user passwords include both letters and numbers.

      Select the Increase required complexity option to require that user passwords include at least one of each of the following: lower case letter, upper case letter, number, and special character (such as * or #).

      If you use Sage Fixed Assets integrated with Sage 300, do not select the Increase required complexity option, because Sage Fixed Assets does not currently support passwords with the increased level of complexity.

      If users enter a password without the required complexity, they receive the message, “Password change is required.” When they click OK, the Change Password dialog box opens.

    • Require passwords to change every [ ] days. To force users to change their passwords after a certain length of time, select this option and then enter a number between 1 and 999 in the field.

      When a password expires, users will be required to enter a new password in the Change Password dialog box.

    • Require minimum password length of [ ] characters. To specify a minimum password length, select this option and then enter a number between 8 and 64 in the field.

      If a user enters a password with fewer characters than the specified minimum, they receive the message, "Password change is required." When the user clicks OK, the Change Password dialog box opens.

      Note: When a minimum password length is set for a database, blank passwords cannot be imported.

    • Lock out user after [ ] attempts. Select this option to lock out users when they try their password the number of times you enter in the field (between 1 and 999).

      When a user is locked out, the administrator must clear the Account Is Locked Out option for that user on the Users screen. Once the option is cleared, the user can try to log on again.

    • Enable locked-out user after [ ] minutes. Select this option to allow a locked-out user to try their password again. Enter a number between 1 and 30,000 in this field.
    • Use time server. Select this option to synchronize all workstations’ time with a particular server, then enter your server name in the Server field.

      If you restrict the hours a user may log on to Sage 300, it is important to use a time server, to maintain security.

  5. Click OK to save your settings and return to the Database Setup dialog box.
  6. Repeat for other databases as required.
  7. Click Exit to leave Database Setup.
