Setting Up Multiple Contacts for Customers and National Accounts
If you use the Multiple Contacts (M/T) program, you can set up multiple contacts for a customer or national account, and specify which types of document to send to each contact.
Documents are sent to contacts by email.
Important! If you are setting up multiple contacts for the first time, check that your email settings are correct on the Company Profile screen in Common Services.
To assign contacts to a customer or national account:
- Accounts Receivable > A/R Customers > Customers or National Accounts.
- In the Customer Number or National Account Number field, specify the customer or national account to which you want to assign contacts.
- On the Contact tab, in the Multiple Contacts section, assign contacts in the following ways:
- Assign an existing contact:
- Click Add Line.
- In the Contact Code field, enter the code for the contact.
- Create and assign a new contact:
- Click Create New Contact.
The Contacts screen appears.
- Enter information for the new contact.
- Click Save, and then close the Contacts screen.
The new contact is saved and is assigned to the vendor.
- Click Create New Contact.
- Assign an existing contact:
- Specify the types of document to send to each contact. For example, if you select Yes in the A/R Invoices field, an X appears in the field indicating that A/R Invoices will be sent to the contact. If you select No, nothing appears in the field. This makes it easier to see at a glance which types of documents are set up to be sent to contacts.
Tip: Use the Show Documents For field to filter the types of document that are shown in the table.
- Click Save.
To edit or view details for a contact:
- Accounts Receivable > A/R Customers > Customers or National Accounts.
- In the Customer Number or National Account Number field, specify a customer or national account.
- On the Contact tab, in the Multiple Contacts section:
- Select a contact in the table, and then click View Contact Details.
The Contacts screen appears.
- If you change information for the contact, click Save.
- Select a contact in the table, and then click View Contact Details.
