Approving a Purchase Requisition

If the Require Approval option is selected in the P/O Options screen, purchase requisitions must be approved. You can approve a requisition only if you have the Requisitions Manual Approval security right (which is assigned in the Security Group screen in Administrative Services). More...

  • If your security group is assigned the security right to approve requisitions, all requisitions that you post are automatically approved, and your User ID appears in the Approver Name field after posting.
  • If your security group is not assigned the security right to approve requisitions, all requisitions that you post are automatically put on hold, and the Approval Status field will display "Entered" until the requisition is posted by a user with approval rights.

    The approver will have to open the requisition, remove the on-hold status, and then post the requisition.

To approve a requisition:

  1. Open Purchase Orders > P/O Transactions > Requisition Entry.

  2. In the Requisition Number field, use the Finder Finder button or the navigation buttons to select the requisition you want to approve.

      Note: Purchase Orders lets you hide columns and change column order.

      You can also click the Detail button to review all the fields for a single detail.

    • On the Totals tab, review the requisition comment and item totals.
    • On the Optional Fields tab, review additional information for the requisition.
  4. On the Requisition tab, clear the On Hold option.

    Note: You cannot create purchase orders from on-hold requisitions.

  5. Click Post.

Purchase Order Entry lets you print the purchase requisition after posting. You can also print the purchase requisition separately, from the P/O Forms folder.

Note: If you have approval rights, the Approval Status field will say "Approved," and the description for your User ID will appear in the Approver Name field. If you do not have the security right to approve requisitions, the requisition will still be on hold after you post it, and the Approval Status field will display "Entered."
