Adding and Managing Notes for Customers, Vendors, and Inventory Items

You use the Notes panel to add and manage notes for customers, vendors, and inventory items.

To add a note:

  1. On the web toolbar at the right of the screen, click the Notes Image of Notes button. button.
  2. On the Notes panel, click Create New.

    If a particular customer, vendor, or inventory item is specified in the fields at the top of the Notes panel, the new note is assigned to that record by default.

  3. On the Add Note screen, enter details for the note. More...

    Enter note content in the text editor, and also enter information in the following fields:

    • Note For and Customer/Vendor/Item Number. Specify the customer, vendor, or inventory item that the note is for.

      A note can be assigned to only one record: either a customer, a vendor, or an inventory item .

    • Active on Specific Dates. Select this option to make the note active during a specific period of time. After you select this option, specify the dates when the note will be active in the Active From and Active To fields.
    • Cannot be Dismissed. This option is selected by default. Clear this option if you want users to be able to dismiss the note.

      If a user dismisses a note, that user will not see the note again unless they open the Notes panel and restore the note by clicking Restore.

  4. Click Save.

Tip: After saving a note, you can create another note immediately by clicking Create New on the Create Note screen.

To edit or delete a note:

  1. On the web toolbar at the right of the screen, click the Notes Image of Notes button. button.
  2. Filter the list of notes displayed on the Notes panel. More...

    Enter information in the fields at the top of the Notes panel.

    • Show Notes For. Specify the type of records for which you want to see notes: Customers, Vendors, Inventory Items, or All record types.

      If you specify Customers, Vendors, or Inventory Items, you can further narrow your focus to a single Customer Number, Vendor Number, or Item Number.

    • Status. Specify the status of notes you want to see: Expired, Active, Future, or Dismissed.

      Expired and Future statuses apply to a note only if there is a date range during which the note is active.

    The list of notes is updated as you make selections, or when you click the Go Image of Go button. button or tab out of the Customer/Vendor/Item Number field.

  3. Click Edit or Delete for a note.
  4. If you are editing a note:

      Enter note content in the text editor, and also enter information in the following fields:

      • Note For and Customer/Vendor/Item Number. Specify the customer, vendor, or inventory item that the note is for.

        A note can be assigned to only one record: either a customer, a vendor, or an inventory item .

      • Cannot be Dismissed. This option is selected by default. Clear this option if you want users to be able to dismiss the note.

    2. Click Save.

To view a note:

    You can either View or Edit notes, depending on whether you have Maintain Notes security authorization.
